These are exciting and changing times for those working in payroll and we have an amazing opportunity for a Payroll Supervisor to join us as we continue to grow and improve our Payroll Services department. This is a dynamic role, which has been put in place to provide additional support to the payroll team and to the efficient running of the department to ensure the effective and timely provision of payroll processing and related services to clients.

In this brand-new role you will be working as one of two Supervisors, with full support from the Senior Manager. You will be delivering a small allocation of payrolls while overseeing, encouraging and helping a team of six (currently) Payroll Technicians with varying levels of training and experience. The team and department is experiencing a period of significant change, to improve client service and processes, so you should bring the benefit of previous experience in a similar supervisory role and you should be resilient, positive and forward thinking.

Dains is a regional firm of accountants & business advisers based in the Midlands. Our primary offices are in Birmingham, Burton on Trent, Derby, Lichfield and Stoke on Trent. Our skills include accountancy, audit, forensic accounting, corporate finance, tax and employment services (including payroll).

The location for this role will be Lichfield, but you will need to travel to other offices and clients’ premises as required.

Key Duties and Responsibilities:


  • To positively influence, motivate and upskill the team
  • Ensure all work in the team is effectively planned and executed, ensuring optimum use of resources and timely delivery to internal and external clients
  • Assist in monitoring workload and evaluation of direct reports
  • Conduct quarterly and annual reviews and assist with employee development plans. Identifying training needs required
  • Provide leadership, coaching, development, performance management, technical guidance, advice and support to the payroll team
  • To understand the current delivery standard and execute a plan to bring in-line all payrolls to be processed in a more efficient and structured way
  • Effectively manage team allocations ensuring their workload is delegated fairly to enable and improve client relationships
  • Ensure all key audit processes are followed and improve these if required
  • Regularly review operating processes in the team and drive process improvements in the payroll activities to realise quantifiable benefits
  • Ensure appropriate escalation of issues where necessary to facilitate timely resolutions
  • Design, put in place and monitor metrics to ensure effective performance and continuous improvement in the work of the team
  • Provide general support to the Senior Manager and Partner in the fulfilment of the management duties and contribute to the overall optimisation of service provisions by the department
  • Ensure legislative compliances throughout all payroll activities
  • Review team performance against business objectives, SLA’s and KPI’s to ensure effective service delivery


  • To prepare a range of payrolls of varying complexity in accordance with the client’s deadlines
  • To be pro-active in advising clients when their payroll is not complying with current legislation
  • To accurately complete bank payments on behalf of the client, providing details to the bank by set deadlines
  • To complete HMRC returns such as full payment submissions and employment payment submissions
  • To maintain an up-to-date knowledge of relevant legislation
  • To understand and keep up to date on the different types of pension scheme, how to calculate pension payments accurately and employer auto-enrolment responsibilities
  • To plan your own workload with some input from the Senior Manager, where required
